Job Purpose:

To perform a variety of office support duties relating to procurement of all goods and services within the division, including advertising as well as administering the closing and opening of request for quotations, filing of SCM and related documents.

Minimum Requirements:

  • Higher Certificate in Supply Chain/ NQF Level 5 or related field
  • Up to 2 years relevant experience

Key Performance Areas:

  • Maintains a neat, well organised system/process of stock keeping
  • Assist in conducting stock-take on a regular basis
  • Administer advertising, closing and opening of request for quotations
  • Generates requisitions when stock items are depleted to re-order point
  • Ensures safety/ buffer stock in place to cover between re-order point and zero stock level (min and max order points, etc)
  • Evaluate all RFQ’s received and create requisitions on Workplace for approval
  • Performs full administrative function within the unit including safe keeping of SCM related documents
  • Assists in identifying regularly utilised items to be kept in stock
  • Ensures adherence to access control of stores
  • Assists Coordinators in facilitating debriefing session with service providers on quotation less than R200k
  • Administratively assist in ad-hoc SCM activities; Print submit purchase orders to service providers
  • Reports on stock variances and abnormal shortages to manager
  • Monitors obsolete items and follow guidelines for disposal; Expedite delivery of goods & services
  • Upload RFQ opening registers on organization’s website; Market research & prepare price lists of goods and services
  • Prepare & submit quotation register for goods & services Checks quality of stock before receiving from suppliers
  • Liaises with relevant stakeholders to follow-up on stores orders
  • Ensures efficient receiving of stock from suppliers in line with relevant
  • Ensures efficient issuing and collection/ delivery of stock to requesting department/ site in line with relevant processes
  • Ensures all required documentation is maintained and filed for record purposes, and passed on to relevant departments
  • Discusses deliverables, measures and targets with manager
  • Actively participates and manages own performance levels by participating in regular one-on-one meetings with manager to discuss progress of individual areas of accountability
  • Actively seeks coaching or advice when necessary
  • Strives to improve own knowledge as it relates to the role
