Job purpose

To perform a variety of office support duties relating to procurement of all goods and services within the division, including advertising as well as administering the closing and opening of request for quotations, filing of SCM and related documents.

 

JOB REQUIREMENTS

  • Higher Certificate in Administration or Supply Chain/ NQF Level 5
  • Up to 2 years relevant experience

 

Key performance areas

  • Ensures timely management of request for goods and services activities;
  • Administer advertising, closing and opening of request for quotations;
  • Ensure safe keeping and safe guarding of all request for quotation documents;
  • Evaluate all RFQ’s received and create requisitions on Workplace for approval;
  • Administratively assist in all ad-hoc SCM activities;
  • Performs full administrative function within the unit including safe keeping of SCM related documents;
  • Upload all RFQ opening registers on the client’s website;
  • Assists Coordinators in facilitating debriefing session with service providers on quotation less than R200k;
  • Print and submit purchase orders to service providers
  • Prepare and submit quotation register for all goods and services
  • Expedite delivery of goods and services to end user
  • Market research and prepare price lists of goods and services
  • Schedules end user consultation meeting relating to their goods and services needs
  • Facilitate departmental service level agreements between SCM and end users
  • Ensures all documentation is in a centralized repository and filed
  • Communicates the progress of all placed purchase order with end users
  • Performs miscellaneous job-related duties as assigned
  • Performs general administrative work for the SCM department as and when required
  • Actively participates and manages own performance levels
  • Ensures regular one-on-one meetings are requested with Coordinator to discuss progress of individual areas of accountability
  • Communicates with internal and external customers to address and resolve queries
  • Builds and maintains relationships with stakeholders
  • Recognises the impact of engaging with stakeholders at the right level
  • Defines the formal and informal stakeholder liaison channels
  • Communicates appropriate information and status updates/reports to relevant stakeholders and stakeholder groups
  • Ensures that stakeholders’ expectations are understood and managed
